Privacy Policy
A society runs on trust. This policy explains what information the platform holds about residents, visitors and staff, why, and who can see it.
01 Whose data this is
A housing society, apartment association or resident welfare association (the society) uses the platform to run its gate, bills, complaints, amenities and accounts. The society decides what data is collected about its residents, staff and visitors, and the society owns that data. We process it on the society's behalf and only for the purposes described here.
02 What we collect
- Residents: name, flat number, phone number, email, family members, vehicles, ownership or tenancy status, and app language preference.
- Visitors: name, purpose of visit, flat visited, entry and exit time, vehicle number and, where the society enables it, a photo taken at the gate.
- Staff and vendors: name, role, attendance at the gate, and complaints assigned to them.
- Payments: maintenance bills, amounts, payment status and receipt details. Card and UPI credentials are handled by the payment gateway and never stored by us.
- Questions asked to the AI Society Assistant, and the society's notices, rules and documents it answers from.
- Technical data such as device type, app version and error logs, used to keep the service reliable.
03 How visitor photos and entry logs are handled
Visitor photos and entry logs are kept only for the retention period the society sets, after which they are deleted automatically. They are visible only to security staff on duty and to committee members the society authorises. Residents see entries only for their own flat.
04 Phone numbers
Residents' phone numbers are never shown to visitors or to guards. When a guard needs to reach a flat, the call is placed through the app. Numbers are shown to other residents in the directory only if the resident chooses to share them.
05 The AI Society Assistant
- The assistant answers only from the society's own notices, rules and documents. If it is not sure, it forwards the question to the committee.
- Notices drafted by the assistant are never posted until the secretary or a committee member approves them.
- Residents' questions are visible to the committee only, never to other residents.
- Society data is not sold and is not used to train public AI models.
06 How we use data
We do not sell personal data, and we do not use resident data for advertising.
- To run the features the society has switched on: gate entry, bills, complaints, bookings, accounts, notices and polls.
- To send service messages such as visitor requests, bill reminders, receipts and complaint updates.
- To provide support to the society's office bearers.
- To keep the service secure, prevent misuse and fix problems.
07 Sharing
Data is shared only with service providers we need to run the platform, such as cloud hosting, SMS and email delivery, and payment gateways, under contracts that limit their use of it. We may disclose data where the law requires it, and will tell the society where we are allowed to.
08 Security
Data is encrypted in transit and at rest. Access inside the society is controlled by roles the committee assigns, and every change to accounts is recorded in an audit trail. Guards sign in to the gate tablet with a personal PIN.
09 Retention and deletion
Society data is kept for as long as the society uses the platform. When a society stops using the service, office bearers can export their data, after which it is deleted within 90 days, except where records must be kept longer by law. A resident who moves out is removed from the society's directory by the office.
10 Your choices
Residents can ask the society's office to view, correct or remove their information, change directory visibility from the app, and turn off non-essential notifications. Requests the society cannot handle can be sent to us through the society office page, and we will help the society respond.
11 Changes to this policy
If we make material changes, office bearers will be informed in the app before the changes take effect.
